The challenge
Customer requests were spread across disconnected workflows
The client’s customer success team was handling borrower questions, application updates, internal follow-ups, and escalations across a mix of email, spreadsheets, internal tools, and manual processes.
Routine enquiries often required coordination between customer-facing teams, underwriting, operations, and other internal departments. Case ownership could become unclear, follow-ups depended heavily on individuals remembering the next action, and status information was not always immediately available.
The client needed a more structured way to manage borrower communication while reducing repetitive coordination and giving the team clearer visibility into every active case.
What we built
A centralized case-management workflow with automation built into everyday operations
We built a customer success platform that captures borrower enquiries as structured cases and routes them according to type, urgency, ownership, and configurable business rules. The system automates routine notifications and follow-ups while allowing customer success teams to handle exceptions, escalations, and sensitive conversations manually. Each case maintains a clear history of actions, ownership, status changes, and communication, giving both agents and managers a shared view of what is happening and what needs attention next. The platform also provides reporting to help identify recurring issues, response bottlenecks, and areas where additional automation can improve the customer experience.

Case Management
Captures borrower requests as structured cases with status, priority, ownership, and complete interaction history.
Workflow Automation
Automatically triggers routine follow-ups, status notifications, assignments, and next-step actions based on configurable rules.
Escalation & Routing
Routes cases to the appropriate team when specific conditions, priorities, or service requirements are met.
Operational Reporting
Provides visibility into case volumes, response patterns, unresolved issues, ownership, and customer service performance.
